TERMS AND CONDITIONS OF TOURS & TRAVEL SERVICES
Please read these Terms and Conditions carefully before using our services.
By accessing and using the Tripcova Travel Agency, you agree to be bound by these Terms and Conditions. If you do not agree with any part of these terms, then you may not use our services.
1. Definitions
- We Refers to Tripcova Travel Agency, a company engaged in providing tours Package, Activities Tranport Rental and Hotel / Villa Booking services.
- You/Customer Refers to the individual or legal entity using our services.
- Services: Refers to all services offered by us, including but not limited to booking tours, travel packages, accommodations, transportation, activities, and other travel-related assistance.
- Website: Refers to our website at www.tripcova.com.
- Booking Confirmation: A written document to costumer email or communication from us confirming the details of your booking.
- Price: The total cost payable by the Customer for the booked Services, including applicable taxes and fees.
- Force Majeure: Events beyond our reasonable control, including but not limited to natural disasters, war, riots, strikes, terrorist acts, government decisions, epidemics, pandemics, and significant disruptions to transportation.
2. Booking and Confirmation
- Bookings can be made through our Website directly ( www.tripcova.com ), email or through our office in Bali.
- The information you provide when making a booking must be complete, accurate, and up-to-date. You are responsible for any consequences arising from incorrect or incomplete information.
- Your booking will be considered valid only after we issue a Booking Confirmation. We reserve the right to refuse any booking without providing a reason.
- It is your responsibility to check the accuracy of the details in the Booking Confirmation. Any discrepancies must be reported to us immediately.
3. Price and Payment
- The Price of the Services is as displayed on our Website or in the quotation provided to you. Prices are subject to change without prior notice, but changes will not apply to bookings already confirmed.
- Payment must be made in accordance with the timeframe and payment methods specified in the Booking Confirmation.
- We reserve the right to charge additional fees for special requests or changes you make after the Booking Confirmation has been issued.
- Late payments may result in the cancellation of your booking and may be subject to late payment charges as per our policy.
4. Cancellation and Changes by the Customer
- Requests for cancellation or changes to a booking must be submitted in writing (via email or letter).
- Cancellation policies and charges will vary depending on the type of Service, third-party providers (such as hotels, Restaurant, tour operators), and the timing of the cancellation.
- We will endeavor to accommodate change requests, but this is subject to availability and the policies of third-party providers. Change fees may apply.
- Refunds will be processed in accordance with our cancellation policy as follows :
- More than 10 days prior to Arrival: full refund minus a administrative fee and Taxes Fee.
- 7 - 9 days prior to Arrival: Cancellation fee will be charged at 30% of the total tour cost (including taxes and administration fees).
- 3 – 6 days prior to Arrival: Cancellation fee will be charged at 50% of the total tour cost (including taxes and administration fees).
- Less than 2 days prior to Arrival : 100% cancellation fee, meaning you lose the entire amount paid.
- Refund processing time is approximately 2 - 5 days
- Special Cases Refunds :
- Force Majeure : If you cancel due to unforeseen circumstances like natural disasters, accident (show a certificate from the police), We will offer more flexible options like rescheduling or 90% refunds.
- Illness: We will offer more flexible options like rescheduling or 80% refunds, if cancellation is made more than 2 days before arrival and provide a doctor's note.
5. Cancellation and Changes by the Service Provider
- We reserve the right to cancel or modify the Services due to reasons beyond our reasonable control (including Force Majeure) or due to unavoidable operational reasons.
- In the event of cancellation by us, we will endeavor to offer you alternative Services of a similar standard or provide a refund for the amount paid for the cancelled Services. We are not liable for any other losses or expenses you may incur as a result of such cancellation.
- In the event of significant changes to the Services, we will notify you as soon as reasonably possible and offer you the option of accepting the changes, opting for alternative Services (if available), or receiving a refund for the affected part of the Services.
6. Liability
- We act as a booking agent for third-party providers such as hotels, tour operators, restaurant and other service providers. Therefore, we are not responsible for the acts, omissions, or negligence of these third-party providers.
- We strive to provide accurate and up-to-date information regarding the Services offered. However, we do not warrant the accuracy, completeness, or reliability of information provided by third-party providers.
- You are responsible for ensuring that you have all necessary travel documents (such as passports, visas, insurance & etc ) and comply with all applicable laws and regulations of the Republic Indonesia countries.
- You are responsible for your personal safety and security during the use of the Services. We are not liable for any injury, illness, loss, or damage to your personal belongings, unless caused by our gross negligence.
- We are not responsible for missed connecting flights, changes in flight schedules, or other issues related to air transportation, unless the air transportation is an integral part of a package tour provided by us. In such cases, our liability will be limited as per applicable regulations.
7. Travel Insurance
- We strongly recommend that you obtain comprehensive travel insurance to protect yourself against potential risks during your trip, including cancellation, changes in schedule, loss of baggage, medical issues, and other unforeseen circumstances. You are responsible for arranging and paying for your own travel insurance.
8. Special Requests
- We will endeavor to accommodate your special requests (such as dietary preferences, hotel room with a specific view), but we cannot guarantee that these requests will be fulfilled. Additional charges may apply for special requests.
9. Health and Physical Condition
- Some tours or activities may require a certain level of physical fitness. It is your responsibility to ensure that you are in adequate health condition to participate in the Services you have booked. You must inform us of any medical conditions or disabilities that may affect your participation.
- We reserve the right to refuse your participation in a tour or activity if we believe that your participation may endanger your health or safety or the health or safety of others.
10. Customer Conduct
- You are expected to behave responsibly, respect local cultures and customs, and follow all instructions given by tour guides or our representatives.
- We reserve the right to terminate your participation in a tour or Service if your behavior is deemed disruptive, offensive, or illegal. No refunds will be provided in such cases.
11. Intellectual Property Rights
- All content on our Website, including text, images, logos, and designs, is owned by us or our licensors and is protected by applicable intellectual property laws. You are not permitted to use, reproduce, or distribute this content without our prior written consent.

- Any dispute arising out of or in connection with these Terms and Conditions shall be resolved amicably through negotiation. If amicable settlement cannot be reached, the dispute shall be submitted to Denpasar District Court, Bali - Indonesia
14. Changes to These Terms and Conditions
- We reserve the right to modify these Terms and Conditions at any time without prior notice. Changes will be effective immediately upon posting on our Website. It is your responsibility to review these Terms and Conditions periodically. By continuing to use our services after any changes are posted, you acknowledge your acceptance of the revised Terms and Conditions.
